Specialisation pays off. This is proven every day again in all types of branches and markets. This is seen as well by the transport specialist H.M. Verploegen. "Where we are good in the complete logistics around the timely and correct delivery of our customers' goods, we see that the Benelux Group with the solution M-Files is completely at home in information logistics: that is why we are happy to use their services and M-Files as our central information management platform for several years now,” according to Henri Verploegen, director of Transport Company H.M. Verploegen.

That means finely-meshed distribution and delivery of goods from multiple customers in one transport to different locations. This type of combined transport makes it affordable for our customers, without having to compromise on quality. But then, for us, it has to go right the first time. Because we have specialized in this type of distribution over the years, this process holds no secrets for us. We know what to do, with complete control at all times, to efficiently, effectively complete all steps."
Knowledge and expertise
Over the years, H.M. Verploegen has developed itself as a specialist in national and international distribution. Henri: "From our three offices, Wijchen (NL), Lyon (Fr) and Düsseldorf (DE) we realize international transports through Poland, France, Germany, Denmark and the rest of Europe. Those transportation services go beyond just planning and executing shipments. Our services include managing the entire logistics chain around (delivery of) the product. We want to be able to serve our customers well, from first contact to actual delivery. That's why we invested in automation already early on.
We use several systems, but especially the system for transport logistics in combination with our customer system (CMS) is most important for us. Nonetheless, around each delivery there is quite a bit of documentation involved, from initial contact to quotation and delivery with packing slips and invoices etc. In short, in terms of information management, quite a challenge to properly manage all that. Especially since in our industry not everything is digital yet by a long shot. So we were looking for additional knowledge and expertise to adequately solve those challenges."
Availability, accessibility and findability
"Automation not only saves a lot of time (and therefore money) but also prevents human error and ensures a higher quality of the processes," Henri observes. "Besides, our people are always on the road and then it doesn't work well if you have to call them to pass something on or they have to go through all kinds of paperwork or look it up. Recently, we have a new on-board system in our vehicles. All relevant information about the transports and our deliveries should be easily accessible there." Availability, accessibility and findability were the biggest challenges when it came to documents surrounding the delivery of goods for our customers. Henri: "Not only for the people on the road, but also for the people at the sites who provide further administrative support to the process. So we were looking for a partner who could help us take the next step, especially in optimising our information management."

Intelligent information management
Coincidence brought Benelux Group and H.M. Verploegen together, but it clicked immediately. Henri: "With the help of Benelux Group, we implemented M-Files. Through M-Files, all employees have instant, secure and complete access to all information related to their search query and in the right context. The file number in the CMS is the main entry point to a file or document, but in addition you can search by branch, customer, order, invoice, etc. These are all relevant criteria by which you can keep together all information that belongs together. M-Files intelligently combines all that data and ensures that all documents that are in any way related to each other and a delivery are linked together; placed in the right context. This way you always have an overview of all available information about the customer or shipment. Information is stored only once and is then available through M-Files. It works perfectly."
Digitalisation and reading
In addition to M-Files, the Scansys recognition software is used to digitise and "read" information that is on paper. Those data then accompany the digital document directly to M-Files. This applies as well to all .pdf documents. “In fact, that is nothing more than digital paper if you don’t do anything with it to be able to access the data on it. It is managed again in the same intelligent manner in M-Files, like all the digital available data pertaining to that customer of shipment. This way, everything fits together seamlessly.”
